We seek an enthusiastic and meticulous Intake Coordinator to bolster our dedicated team. The ideal candidate will be pivotal in streamlining our client intake process, providing initial case evaluations, and facilitating a smooth operation from the first client interaction. Responsibilities:
As an Intake Coordinator at the Rossen Law Firm, your primary responsibility will be to represent the values and principles of the firm in all interactions with potential clients. Working under the guidance of the Chief Revenue Officer, your role will involve understanding the unique situations of our prospective clients and guiding them through the intake process with empathy, precision, and efficiency. The goal is to maintain the Rossen Law Firm's position as a leading option in South Florida's legal community and a reliable source of legal expertise.
--- Client Interaction: Serve as the primary point of contact for potential clients, offering a welcoming and professional introduction to our firm.
--- Inquiry Assessment: Assess the urgency and relevance of each inquiry, ensuring prompt and appropriate responses.
--- Lead Fielding: Efficiently manage initial leads through various channels including phone, email, social media, chat, and calls, ensuring a prompt and courteous response.
--- Case Evaluation: Conduct preliminary evaluations of potential cases, guiding decision-making processes.
--- Enhancing Client Experience: Contribute to a positive client experience from the first point of contact, embodying the firm's commitment to service and excellence.
--- Information Gathering and Documentation: Collect comprehensive case details from potential clients, meticulously documenting all relevant information for legal strategy planning.
--- Scheduling Strategy Sessions: Coordinate appointments between potential clients and attorneys, ensuring a seamless transition for strategic consultation.
--- Database Maintenance: Oversee and update the client database, ensuring accurate and organized records of all interactions and consultations.
--- Prospective Client Follow-up: Conduct diligent follow-ups with prospective clients to address any additional queries and encourage engagement with our services.
--- Intake Process Optimization: Collaborate in the ongoing evaluation and refinement of the intake process to enhance efficiency and client satisfaction.
--- Attorney Referral Coordination: Assist in the management of the attorney referral process, ensuring a smooth and professional experience for both referring and receiving parties.
--- Marketing Collaboration: Work closely with the marketing team to track lead sources, contributing insights for marketing strategy adjustments.
--- Attorney Collaboration: Facilitate the onboarding of new clients by working in tandem with the attorney, ensuring all necessary information is accurately conveyed for case initiation.
--- Client Outreach and Nurturing: Engage in proactive outreach and nurturing efforts, building long-term relationships with clients and enhancing their trust in the firm.
--- Reporting: Regularly compile and present reports on intake metrics, trends, and outcomes, providing valuable insights for strategic planning and process improvements.
--- Legal Compliance: Ensure all intake activities comply with legal standards and the firm's ethical guidelines.

Qualifications:
--- Proven experience in a legal intake or similar client-facing role
--- Bilingual proficiency in English and Spanish is highly desirable.
--- Exceptional communication and interpersonal skills, with a talent for building rapport and trust.
--- Demonstrated ability to handle sensitive information with integrity and confidentiality.
